Cancellation Policy Overview

Our cancellation policy is designed to be fair to both golfers and golf courses. The earlier you cancel, the more you get back.

1. Standard Cancellation Policy

1.1 Full Refund (24+ Hours)

Cancellations made 24 hours or more before your scheduled tee time are eligible for a full refund, including:

  • Complete green fee refund
  • Cart fee refund (if applicable)
  • All taxes and fees
  • Play Privy booking fee

Processing Time: Refunds are processed within 3-5 business days to your original payment method.

1.2 Partial Refund (12-24 Hours)

Cancellations made between 12-24 hours before your tee time receive a 50% refund:

  • 50% of green fees refunded
  • 50% of cart fees refunded
  • Taxes refunded proportionally
  • Play Privy booking fee is non-refundable

1.3 No Refund (Under 12 Hours)

Cancellations made less than 12 hours before your tee time are not eligible for refunds:

  • Full payment is forfeited
  • No exceptions for personal emergencies
  • Course may offer credit at their discretion

2. Weather-Related Cancellations

Weather Policy

Weather-related course closures receive special consideration for refunds.

Official course closure = Full refund
Lightning delays = Full refund if unplayable
Light rain/wind = Standard policy applies

2.1 Course Closures

If a golf course officially closes due to weather conditions, you will receive a full refund regardless of timing:

  • Lightning: Immediate course closure and full refund
  • Severe Storms: Course management decision for safety
  • Flooding: Unplayable course conditions
  • Extreme Heat: Rare closures for player safety

2.2 Playable Conditions

Light rain, wind, or other playable conditions do not qualify for weather-related refunds:

  • Course remains open for play
  • Standard cancellation policy applies
  • Players may choose to play or cancel normally

2.3 Weather Decision Authority

Course management has final authority on weather-related playability. Play Privy cannot override course decisions regarding weather conditions.

3. Special Circumstances

3.1 Medical Emergencies

While we understand that medical emergencies occur, our standard cancellation policy applies. However, we may consider:

  • Course credit for future use (at course discretion)
  • Rescheduling options when available
  • Documentation may be required for consideration

3.2 Travel Disruptions

Flight cancellations, car troubles, or other travel issues:

  • Standard cancellation policy applies
  • Travel insurance is recommended for protection
  • Some courses may offer rescheduling options

3.3 Course-Initiated Changes

If a course changes or cancels your tee time:

  • Full refund if no suitable alternative is available
  • Free rescheduling to comparable time slot
  • Compensation may be offered for inconvenience

4. Group Bookings

4.1 Group Cancellation Policy

For bookings of 8 or more players:

  • 72+ hours: Full refund for entire group
  • 48-72 hours: 75% refund
  • 24-48 hours: 50% refund
  • Under 24 hours: 25% refund

4.2 Partial Group Cancellations

Individual players within a group booking:

  • Must cancel at least 48 hours in advance
  • Subject to minimum group size requirements
  • May affect group pricing if below minimum

5.1 Online Cancellation

The fastest way to cancel is through your online account:

  1. Log in to your Play Privy account
  2. Navigate to "My Bookings"
  3. Find your reservation and click "Cancel"
  4. Confirm cancellation and receive email confirmation

5.2 Phone Cancellation

Call our customer service team:

  • Phone: 1-800-PLAY-GOLF
  • Hours: Monday-Sunday, 6:00 AM - 10:00 PM EST
  • Information Needed: Booking confirmation number and last name

5.3 Email Cancellation

Email cancellations are processed during business hours:

  • Email: playprivy@gmail.com
  • Subject: "Cancellation Request - [Booking Number]"
  • Include: Full name, booking number, and reason for cancellation

6. Rescheduling Policy

6.1 Rescheduling vs. Cancellation

Rescheduling follows the same timeline as cancellations:

  • 24+ hours: Free rescheduling (subject to availability)
  • 12-24 hours: 50% rescheduling fee
  • Under 12 hours: Full payment required for new booking

6.2 Rescheduling Process

To reschedule your tee time:

  1. Cancel your existing booking (following policy above)
  2. Search for new available tee times
  3. Book your preferred new time
  4. Pay any difference in pricing

7. Refund Processing

7.1 Processing Timeline

  • Credit Cards: 3-5 business days
  • Debit Cards: 5-7 business days
  • PayPal: 1-3 business days
  • Bank Transfers: 5-10 business days

7.2 Refund Method

Refunds are processed to your original payment method. We cannot issue refunds to different cards or accounts for security reasons.
